Software for a building materials store: wholesale, debts, warehouses

Building materials are sold at retail and wholesale, often on credit and with delivery. Here is what you need from a register and stock system to keep prices, debts and inventory under control.

Why stock control is harder in building materials

A building materials store keeps small fittings worth a few thousand soums next to pallets sold to work crews. The same product goes at a retail price to a private buyer and at a wholesale price to a contractor. Some customers buy on credit until the job is finished, some ask for delivery, and the goods sit in several warehouses and in the yard. A notebook or a spreadsheet soon stops matching reality.

Sotix is a cloud POS system: the register and the stock records work together, and the owner sees sales, debts and inventory from any device. Below is what it offers for this.

Retail and wholesale price lists

Sotix keeps several price lists: retail, wholesale and others. You create a product once and the price depends on who is buying. Regular customers can be placed in groups with a discount. To stop a salesperson from selling at a loss, a product can have a minimum price: selling below it requires a permission or a confirmation.

  • prices in soums or in US dollars with an exchange rate, handy when your supplier prices in foreign currency;
  • a product card with barcodes, IKPU, VAT, photo and brand;
  • kits (bundles): for example, everything for an installation under one item;
  • free-form tags in the card that make products easy to search;
  • catalog import from Excel or CSV with a preliminary file check.

Customer debts and installments

Selling on credit is normal in construction, and it is exactly where money gets lost. Sotix has a customer base with purchase history and debts, installment plans with a payment schedule and debt reminders. A return first pays off the customer's debt, so the books stay consistent.

The owner can see who owes how much, and salespeople do not have to keep it in their heads or in a separate notebook. Payment is accepted in cash, by card through a terminal, and through Payme, Click and Uzum by QR with an invoice right from the register; split payment is possible.

Several warehouses and transfers

A warehouse, a sales floor, a second shop: you need stock for each place separately. Sotix handles several warehouses and branches and lets you transfer goods (and money) between them. Purchasing covers the full cycle: supplier order, receipt, return to the supplier, and the auto-order is built from minimum and maximum stock.

Stocktaking can be full or selective (by ABC), with blind counting; a shortage is assigned to the responsible employee. More in inventory management.

Delivery and weighed goods

Orders with delivery are recorded in the system so they do not get lost in messengers. Integration with Yandex Delivery is currently in development. For bulk and weighed items, weight barcodes (PLU for scales) are supported, so the weight goes onto the receipt automatically. Labels and price tags are printed with an EAN-13 or Code128 barcode.

The register at the point of sale

Sotix Kassa runs on Android, iPhone and iPad, Mac, Windows and in the browser. You can scan with a phone camera or a USB scanner. If the internet at the site is unreliable, the register keeps working: sales are saved on the device and sent to the server when the connection returns. The e-receipt goes out by link, QR or SMS, and printing is on 58/80 mm tape and A4. Cashiers sign in with a PIN and a shift closes with X and Z reports. We are preparing a connection to fiscalization through certified operators. More in POS system for shops.

Control and reports

Salespeople's pay is calculated from a rate plus a percentage of sales and KPI, based on the timesheet of register shifts. The owner sees sales by salesperson, branch and product, ABC/XYZ analysis, slow-moving goods and profit, and gets Telegram alerts about low stock, cancellations after payment and cash shortages.
