Pharmacy software: batches, expiry dates and product marking

What a pharmacy needs from its software: batch tracking with expiry dates, DataMatrix codes on the receipt, IKPU in the product card and supplier orders driven by minimum stock.

How a pharmacy differs from an ordinary shop

In a pharmacy the same product arrives in several batches with different expiry dates, and a mistake costs more than it does in a grocery or a clothing store. A spreadsheet and a pharmacist's memory do not help here. You need to know how many units are left in each batch, what should be sold first and when it is time to reorder.

Sotix is a cloud POS system: the register and the stock records work together, and the owner sees inventory and sales from any device. Pharmacy software in Uzbekistan has to cover exactly these tasks, and below is what Sotix offers for them.

Batches and expiry dates

Sotix can track goods in batches with expiry dates. Every delivery from a supplier is a separate dated batch, so the stock of a product is the sum of its batches rather than one overall figure. This is the basis for tracking medicines, supplements and cosmetics with a limited shelf life.

  • supplier orders, goods receipt and returns to the supplier;
  • stock per warehouse and per branch;
  • a slow-moving report that shows items sitting on the shelf that may not sell before they expire;
  • ABC/XYZ analysis: what brings most of the revenue and what only takes up space.

DataMatrix marking (Asl Belgisi) and IKPU

For goods with mandatory marking, Sotix supports DataMatrix codes (Asl Belgisi): the code is recorded for every single unit on the receipt. The product card has fields for IKPU and the package code, barcodes, VAT, brand and photo. You enter the data once and it carries into the sale.

Sotix does not replace regulatory or licensing requirements for pharmacies: check the list of mandatory steps for your pharmacy with the relevant authorities. We are preparing a connection to fiscalization through certified operators.

Minimum stock and auto-orders

A pharmacy cannot afford to run out of a fast-moving medicine. You set minimum and maximum stock in the product card, and the system builds a supplier order from those limits. The owner also gets a Telegram alert about low stock, so the buyer does not have to count shelves by hand.

Purchasing covers the whole cycle: supplier order, receipt and return to the supplier. Products and suppliers can be imported from Excel or CSV with a preliminary check of the file, and prices can be kept in soums or in US dollars with an exchange rate.

Stocktaking without closing the shop

Stocktaking can be full or selective (by ABC), and there is blind counting: the employee counts without seeing the expected quantity. A shortage is assigned to the responsible employee instead of vanishing into general losses. Permissions are set by role, and the change log shows who edited cards and stock.

The register for the sales floor

Sotix Kassa runs on Android, iPhone and iPad, Mac, Windows and in the browser. You sell by scanning a barcode with a phone camera or a USB scanner; payment is cash, card through a terminal, or Payme, Click and Uzum by QR, and split payment is possible. Returns are handled at the register. The e-receipt goes out by link, QR or SMS, and you can print on 58/80 mm tape. If the internet drops, sales are saved on the device and sent to the server when the connection returns. Cashiers sign in with a PIN, and a shift closes with X and Z reports.
